Disinfecting your Printer, Copier or Multifunction Device
The office photocopier is one of the most touched surfaces in the office. In the wake of the current pandemic, it has become essential to disinfect and clean. This applies to your multifunction photocopier as well. Below are some of the key factors to consider while disinfecting your printer or copier:
- Make sure the device is unplugged and powered down before cleaning. Also, after cleanup before plugging in the device make sure surfaces are dry
- Avoid spraying cleaning agent directly onto the machine. Spray the cleaner on a lint free cloth/rag and then wipe surfaces. Avoid anything that contain bleach, ammonia or other harsh cleaning solutions (We at Copier Earth use Isopropyl alcohol to wipe down the machine). Most antibacterial wipes are acceptable in cleaning your machine. Don’t use one that is too wet though, or it could drip inside the machine.
- Cloth/Rags should be disposed of after each use
- Use only glass cleaner on scanner glass and wipe a with a lint free cloth
- When cleaning electronics, never use an excessively damp disinfectant wipe. If you have a damp wipe make sure to squeeze the extra liquid out before you start cleaning the copier.
- Never use rough paper towels or clothes to clean the glass in feeder and scanners as it may cause scratches which can lead to quality issues while scanning and copying.

Why does a Photocopier Jam?
Multi-function Copiers are a significant part of smooth operations in many offices today. They are at the center of document management. If you own or use a copier, you must be aware of paper jamming. It is frustrating and it always seems to happen during a deadline. We have listed some reasons why photocopier jams below:
Misaligned Paper – When the stack of paper is not properly aligned, it causes a paper Jam. When adding paper, make sure you fan it and avoid overstuffing the tray. A Majority of copier technicians recommend that you should first load half ream in the tray and then the rest making sure that the bottom lot does not shift and paper is stacked properly.
Paper Dust – Paper Dust is one the major causes of Jamming in Multi-function Printers. The dust collects on rollers and sensors over time and leads to jams. Businesses try to cut cost by using cheap paper. While cheap paper might increase your savings, it is not so great for your copier as low-quality paper generates more dust. Apart from Jamming, paper dust can also cause copy quality problems
Moist paper – Make sure you use clean, moisture-free paper. Moist or dirty paper is most likely to cause jams in the photocopiers
Dirty paper trays and Rollers – Keep the paper trays clean. The dirt from the trays will make its way to the roller causing slippage and accumulation of debris on rollers resulting in Jams.
Staples and Paper Clips – When small metal objects like staples or paper clips get inside the copier, they can cause jams. Even worse, it can damage parts. Sometimes these metal objects scratch the drums or leave a cut on the fuser resulting in quality issues. In some cases, the parts need replacement which can result in a big expense and downtime for your business. Make sure to check that the paper is free of staples and small clips while scanning or copying.
A copier service provider like Copier Earth can put a stop to copier paper jam problems caused by worn parts. We have certified and experienced technicians on board who will ensure that your Multi-function copier runs smoothly.

Choosing the Right Paper for your Multifunction Photocopier!
There are different paper styles optimized and engineered for a variety of uses. The Paper you will purchase to load the copier in your office will be different than what you use to print photographs. It’s very important to choose the right paper for your copier. Below are some facts to consider when selecting a paper:
Brightness:
The brightness of the page will affect the sharpness of your text and Images. Most paper is around the 90s on this scale with less expensive copy paper coming around 92. Here at Copier Earth, our printing paper starts from 96 brights.
Shade:
Describes the tone of your paper. Differences in tone will make your white tone look warmer or colder depending upon the balance of red and blue light they reflect. Paper is no different and the balance of your shade can make a big difference in how your print turns out.
Paper Dust:
Believe it or not, paper dust is a thing and it affects the performance of your multifunction photocopier. The lower quality paper generates more dust which can result in the accumulation of debris on rollers and sensors. This accumulation can lead and quality issues.
Weight:
Weight refers to the heaviness of each sheet of paper. The weight is commonly measured in GSM which means grams per square meter. The weight of the paper influences both how your print looks and how the page itself feels. Standard paper weight works best for offices. A downside is that lighter paper does not stand well against heat when passing through the fuser.
We have a large selection of paper here at Copier Earth.

Maintaining your Office Photocopier!
Office photocopiers are an important part of smooth office operations. Almost all of us faced a time when we had to deal with a broken office copier. Here are some tips that can help you in maintaining your office copier
Warm-up
If the copier hasn’t been used for several days, it is recommended to run a few test prints before using the copier intensively. The majority of copiers when left idle for a period of time, go into sleep mode and initiate calibration mode once started up again. The machine does this to ensure that you get the most optimal quality on your next printout.
Choosing a Copier that suits your needs
In some cases, the copiers break down because the machine is not well-suited for the demands of office members. If you have a copier that regularly breaks down, overuse could be the reason. Always remember, a cheap copier might result in repeated repairs in long run. It is always better to invest in equipment that will keep up with your growing demand.
Regular cleaning
Handle the photocopier with care. Regular cleaning of the machine’s exterior and cleaning of bypass and exit trays will help increase the life of your copier. Whenever clearing jams, be sure you retrieve all parts of the page that has jammed. Even the tiniest scrap of paper left inside the paper path can cause damage during your next copy run.
Copier Earth has maintenance plans that can be customized according to your business needs. All our maintenance plans include toner, labour, parts replacement, online troubleshooting and onsite visits. Having professional care for your equipment can extend its life by years saving you lots of money in the long run.
